Draft — pending legal review

This is a plain-English draft that accurately describes how the service works today. It has not yet been through final legal review. The definitive policy will be reviewed and confirmed before A2Z Workshop is offered to the public.

Who we are

A2Z Workshop is operated by A2Z IT Limited, a company registered in the United Kingdom ("we", "us"). We can be reached at hello@a2zworkshop.co.uk.

Controller and processor

For the account of a garage that uses A2Z Workshop, and for our own website and marketing, we are the data controller.

For the customer and vehicle records a garage stores in A2Z Workshop, the garage is the controller and we are the processor — we process that data on the garage's behalf, under our agreement with them, to provide the reminder service.

What we collect

  • Garage account data: the account holder's name, email address and business details.
  • Customer & vehicle data (on the garage's behalf): customer name, mobile number, email address, vehicle registration, and MOT / service / tyre dates.
  • Consent records: whether a customer has agreed to service reminders and, separately, to marketing — with the time and, for marketing opt-ins, the IP address it was given from.
  • Message records: which reminders were sent, when, and their delivery outcome (used for billing and support).

Where data comes from

Data is entered by the garage, imported from the garage's own records, or entered by a customer who signs themselves up (for example by scanning a QR code). Vehicle and MOT-history details are retrieved from the DVLA using the registration.

Why we process it, and our legal basis

  • Service reminders (MOT, service, tyre) are sent to a garage's existing customers on the basis of legitimate interest — they are a service message about a vehicle the customer brought in.
  • Marketing messages (seasonal offers, broadcasts) are only sent to customers who have explicitly opted in, on the basis of consent.
  • Running your account and taking payment is on the basis of our contract with the garage.

Every message includes a way to opt out. Replying STOP to any text opts that customer out of all further messages.

Who we share it with

We do not sell personal data. We use a small number of sub-processors to run the service:

  • Microsoft Azure — hosting and database, in the UK South region.
  • Azure Communication Services — sending SMS and email reminders.
  • DVLA — as the source of vehicle and MOT-history data.

Where data is held

Customer and vehicle data is stored in the United Kingdom (Azure UK South).

How long we keep it

We keep data for as long as the garage's account is active. When a record is deleted it is first marked as deleted and hidden from use, then permanently removed by a later clean-up process. Message and billing records are kept as long as we need them for accounting.

Your rights

Under UK GDPR you have the right to access, correct, delete, or restrict the use of your personal data, and to object to processing. If you are a customer of a garage, the quickest route is usually to ask the garage; you can also contact us. You can complain to the Information Commissioner's Office (ICO) at any time.
